1. Scope and responsibility
VexillumMedia LLC operates this website and uses the Vexflow name for its business systems offering. This policy covers website visitors, prospective clients and people contacting us directly. Information processed for a client under a separate services agreement may instead be subject to that client’s privacy notice and our agreed responsibilities.
2. Information we collect
The inquiry form collects the details you choose to provide, including your name, business name, trade, phone, email, project needs, timeline, team size, optional investment range and separate SMS consent choices. The form also records submission and technical information, such as timing, time zone and source information. Our hosting and form providers may receive IP addresses, browser or device details, logs and information needed to deliver the site, prevent abuse and process submissions.
Please do not enter passwords, payment information, health records, government identifiers or confidential customer records in the form.
3. Why we use information
We use your details to review and respond to inquiries, evaluate a project, arrange next steps, maintain business records, operate and secure our website and CRM, honor communication preferences and meet legal obligations. Sending an inquiry does not book an appointment or subscribe you to marketing texts.
4. Service providers and disclosures
The main website is delivered through OpenAI Sites and Cloudflare infrastructure. The embedded form and CRM are provided by HighLevel / LeadConnector. These providers process information to host pages, operate the form, record inquiries and support our business. Email and, where separately authorized, messaging providers help us communicate with you. Providers may process information in the United States and other countries where they operate.
We may disclose relevant information to professional advisors or when reasonably necessary to comply with law, respond to lawful requests, protect rights or security, or complete a business transfer subject to applicable law. We may also share information when you direct or authorize us to do so. SMS consent information has the additional restrictions below.
5. Mobile information and SMS consent
We do not sell or rent contact lists. No mobile information will be shared with third parties or affiliates for their marketing or promotional purposes. Text-messaging originator opt-in data and consent are excluded from other sharing categories and are shared only with providers supporting delivery of our messages or as required by law. 6. Cookies, embedded content and fonts
The main site serves its own fonts and does not add an independent advertising pixel or visitor analytics script. The inquiry form is third-party embedded content. Its provider may use cookies, browser storage, technical logs, fonts and anti-abuse services to operate the form. Save-progress functionality may retain an unfinished form on your device. Your browser sends technical information to the form provider when the embed loads.
We have not configured a Facebook Pixel ID on this form. This does not mean third-party systems make no technical requests. You can manage cookies and stored data in your browser; blocking them may prevent form features from working. You can contact us by email or phone if you prefer not to use the form. We honor privacy choices where applicable law requires.
7. Retention and security
We retain inquiry and business records for as long as reasonably needed to respond, maintain a business relationship, resolve disputes and comply with legal, accounting or contractual requirements. Consent and opt-out records may be kept to honor your choices. We use safeguards appropriate to the information and rely on established service providers, but no internet transmission or storage system can be guaranteed completely secure.
8. Your choices and privacy requests
Contact alexander@vexillummedia.com to request access, correction, deletion or a copy of information we hold, or to ask how it is used. We may verify your identity and retain records where law permits or requires. Additional rights, such as an appeal or an opt-out, depend on your location and whether a law applies to us. We respond as required by applicable law. If applicable law allows an appeal, reply to our decision with "Privacy Request Appeal." We do not discriminate for exercising applicable privacy rights.
You may decline optional SMS checkboxes and still submit an inquiry. Reply STOP to texts to opt out, use an unsubscribe link in a marketing email, or contact us. Necessary replies about your inquiry or an active service may still be sent through an appropriate permitted channel.
9. Children and international visitors
This website is for adult business users, not children. We do not knowingly collect information from children under 13. If you believe a child has provided information, contact us so we can review and delete it where appropriate. We operate from the United States; information may be processed where our providers operate. We apply any transfer safeguards required by applicable law rather than treating use of this site as a waiver of privacy rights.
